How can I find/join/access the event?

The virtual event will be held via the Whova App. You can access the event through the desktop app or the mobile app. See below the instructions on how to access and download the app. Only registered attendees will be granted access to the app.

How do I access Whova from my desktop

On your PC or Mac:

  • Click here to access the web app in your browser (Google Chrome preferred)
  • Sign up using the same email address you used during registration:
    • Sign in if you have a Whova account
    • If you do not have a Whova account, you will need to create an account. Click ‘Sign up here” to create your own Whova account. Note: You may choose to add as much information to your Whova profile as you feel comfortable with. Other conference attendees will see the information you share on your profile.
    • Complete the sign-in process and start exploring!

How do I download the Whova mobile app?

On your phone or tablet, click here to access the app store for your device

  • Download the Whova app to your mobile device
  • Sign in using the email and password you used to access Whova on your PC or Mac
  • Select HL7 FHIR DevDays November 2020 (under My Events) and start exploring

If you have previously downloaded Whova onto your mobile device – and especially if you used a different email address – you must first sign out from the Whova app and then sign back in with the login credentials for this conference.

Do I need an access code?

No. All registered attendees will be added to the app on November 5, 2020 at 18:00 CET. Watch for a notification email. If you do not have access to Whova on November 6, 2020, send an email to devdays@fire.ly

I have downloaded Whova on my desktop as well as on my phone. Which is the best option to use?

While the choice is yours, you may wish to take a blended approach using both the desktop and mobile app.

  • The mobile app has the option to search for attendees based on recommendations. The match is based upon your profile, so make sure you have your profile updated.
  • Some of the fun community functions (like Break the Ice, photos sharing) and the Passport contest for exhibitors, are only available on the mobile app. Also, the Q&A and chat for a session refreshes automatically on mobile devices, while a refresh may be needed on the Desktop web app.
  • Please note that presentations will be more difficult to view on a smaller phone screen so you may use the desktop instead.

I don’t see the conference in my Whova app

The conference is visible to attendees on November 5, 2020. DevDays starts on November 17, 2020. This gives you time to browse all sessions, add them to your agenda, connect to other attendees and get familiar with the app. Please make sure you logged in to Whova with the same email address as the one you used to sign up to the conference.

I’m having trouble connecting to or using the Whova app. Who should I contact?

Email devdays@fire.ly and one of the Firely meeting organizers will contact you. If you think the problem or question may be applicable to all registrants, please go to the Community tab and post the question under “Ask Organizers Anything” and we will respond.

My company does not allow using Zoom and I see that the sessions all link to a Zoom meeting. What should I do?

While some companies may restrict downloading Zoom to a company computer or device, the app does not need to be downloaded to participate in sessions via Whova. Just click on the link in each live session room and you can view the presentation and ask questions embedded in the mobile or web app.

How do I turn on/off my camera of microphone

For most of DevDays, your audio and microphone will be off. However, when you are in a live conversation during the Let’s Build!, Lounge, Meet & Greet with the speakers or the FHIR Side Chat, you will be connected to a Zoom meeting with the option to unmute yourself. You will be asked to allow the browser to access your camera and microphone. Please select “Yes”. Click “Mute” or “Stop video” at the bottom left of the screen to turn off your microphone and camera.

We strongly recommend switching on your camera during interactive sessions.

I’m logged into Whova but can’t hear anything in the session. What should I do?

First, check your computer or mobile device settings to ensure the volume is turned up and confirm that your sound works correctly through another web page. If those steps do not resolve the issue, try exiting Whova and logging back in.

If that fails, you might leverage the mobile app and listen to the audio via the mobile device. If you choose to do so, turn off audio in the Whova web app, to prevent interference, by:

  1. Clicking the upward arrow located to the right of the Mute/Unmute icon displayed within the Zoom Host’s screen sharing
  2. Selecting ‘Leave Computer Audio’
    • Dial into the session: Rather than joining audio with your computer, click the upward arrow located to the right of the ‘Join Audio” icon located in the bottom left section of the screen sharing; then select from the list of phone numbers.
    • Enable microphone and sound: if you see the following “not secure” message in your browser (see below), click on it and select the options to enable your microphone and sound.

If this all fails, try a reboot and if that doesn’t resolve the issue, contact devdays@fire.ly

I can’t access one of the sessions. What should I do?

Email devdays@fire.ly and we will confirm your registration to DevDays. If it is a technical issue, rest assured that one of our technical staff member will resolve it quickly.

My system is runnig slowly. Who can we help?

Turn off all applications except Whova. If the problem continues, contact the support team and we will help troubleshoot.

I’m in the wrong session. If I leave this live stream, can I re-enter or go to another session?

Yes, if you are registered, you can come and go as you please and even move from one track to another.

If I need to leave a session or my computer/phone disconnects unexpectedly, can I re-enter the session?

Yes, you can log back into Whova at any time.

Content

When will the content (e.g. recordings and slides) be available?

The recordings and slides will be available at the end of each conference day, in the Whova App. You can find them in the agenda, at the session. The materials from the event are accessible in the Whova App for 3 months after DevDays has concluded.

This content will also be made available on the DevDays website. You will be notified by email once they are accessible.

Can I print the agenda?

A printable version of the program can be downloaded from the DevDays website. Please make sure to always double check the agenda in Whova as last-minute changes will only be visible in the online agenda and not in the printable version.

How can I ask a question during one of the sessions?

During a live session, there will be three tabs on the right-hand side of the screen: Session Q&A, Chat, and Community. You can ask questions in the Session Q&A tab and make comments in the Chat tab. Please note that the Q&A and Chat automatically refresh in the mobile version of Whova, but might need a manual refresh of the page in the desktop web app.

You can also vote for your favorite question and the speaker may answer questions that have the most likes. A facilitator will manage the questions and read them to the speaker during the session. The speaker can also answer questions after the session. You can even post questions after the sessions have finished by going to the Session Q&A on Whova (under Main Navigation on the left side) and finding the relevant section.

How can I rate the session?

After the session has concluded, you can rate the session via the ‘rate session’ button which is shown in the specific session. This functionality is available both on the mobile and web app.

Networking

How do I find and/or message another attendee?

In Whova web app, go to the Attendees tab (on the left side of the Main Navigation) where you can view all attendees and directly send them a message.
In the Whova mobile app, go to the Attendees tab (bottom of the screen). You can browse names, categories, and recommendations. You can request a personal meeting with the attendee.

Please be aware that attendees were asked to explicit opt-in to be visible on the list of attendees, so not everyone might be visible at the beginning.

How do I network at DevDays?

There are various ways to network during DevDays:

  • Via the agenda at the Whova App:
    • Visit the Lounge. Each day, the lounge is open to anyone who would like to see who else has a free moment and wish to share some ideas. If you wish to meet with a group, you can ask the Lounge host for a breakout room.
    • Attend the social activities at the end of each conference day
    • Browse the attendee list and send messages or connect with the FHIR friends you wish to meet. In the mobile app, you can also suggest a private virtual meeting
    • Check the community board and participate in discussion. The community board offers the possibility to start any topic you wish to discuss and find like-minded delegates. Two fun activities have been initiated already: the DevDays Coffee mugs competition and the DevDays Virtual Running Club
    • Explore the virtual booths hosted by our DevDays sponsors. Enter to view a demo, gather information, and interact with the host. While visiting exhibitors, you can compete in the Passport Contest. If you have collected all stamps, you enter the raffle for a prize.
  • Via Social Media
    • Post on social media about how you are enjoying FHIR DevDays November 2020, using the hashtag #fhirdevdays and tagging @FirelyTeam.

Can I arrange a virtual meet-up with colleagues/other attendees?

Yes! Use the community board to schedule a virtual meet-up. You can schedule a closed (i.e., for a small group of people) or open meeting. You can also ask the DevDays Lounge host for an open breakout room.

What is the Twitter hashtag for this event?

Where do I post pictures?

Do you want to share photos with the community? Pictures can be uploaded via the mobile app.

We want DevDays to be as fun and engaging as ever in this year’s virtual format. Participate in our #DevDaysCoffeeMugs competition by posting photos of your fun coffee mug on the mobile app/photo tab and on your social media (Twitter or LinkedIn). Use the hashtag #DevDaysCoffeeMugs and tag us at @FirelyTeam to make sure we see your post and enter you in the competition.

Join our DevDays Running Club! This week feel free to go out for a social distanced run or walk, take a picture, then share it on your social media (Twitter or LinkedIn) using the hashtag #DevDaysVirtualFunRun and tag Firely. We’ll share your post and cheer you on! You can see #DevDaysCoffeeMugs entries and #DevDaysVirtualFunRun photos on our Twitter feed.

Why am I not visible on the attendee list?

By default, your name is not shown on the list of registered attendees. In case you wish to be visible, you have to explicit opt-in for this feature. Changes can be made any time via the Settings button on the mobile app.

How can I adjust my personal information?

If you have approved to show your name on the list of attendees, the following information will be visible: name, company, job title. Changes and additional information can be added via the settings/my profile button.

How can I export contacts to my phone address book?

Click on the Profile Icon in the top left, then select the “My Contacts”. There you will see a button called “Save to Phone Address Book” under the “Contact Information” section. Click it to save current contact to your phone address book. You will also have the option in the top right to export your contacts to your email.
